Property & Utility Data: Supplementary Privacy Notice
For Property Owners, Landlords, and Sole Traders
This short notice explains how Precision Data Solutions Ltd (“we,” “us,” or “our”) uses property and address data to help water retailers and utility companies manage their networks accurately.
This document is a supplement to our main Privacy Notice which you can find Here. For full details on our cloud security, data storage, and how long we keep information, please read both notices together.
Why we hold information about your business property
We are a data analytics company that provides data quality, occupancy management, and property analytics services to utility companies. Our work helps utility providers maintain accurate business customer records and ensure that charges are applied fairly and correctly.
One of our key services is identifying “Gap Sites”—commercial properties that are connected to the water or energy network but are missing from the billing system. We also provide Occupancy Management services, helping utility companies identify when business properties have changed occupier, become vacant, or contain inaccurate occupancy information. This enables our clients to keep their records up to date, bill the correct business, and reduce unnecessary customer contact.
To provide these services, our systems analyse address, property, and geographic datasets from a range of trusted sources across the UK. Because these datasets relate to business properties, they can sometimes include information about unincorporated sole traders, business partnerships, or individual commercial landlords. Under UK data protection law, this information may constitute personal data.
Because we obtain this information from third-party data providers rather than directly from you, the law would normally require us to provide you with a privacy notice. However, as our systems process information relating to millions of business properties across the UK, contacting every affected individual would involve a disproportionate physical, administrative, and financial effort. It would also require us to process additional personal data solely for the purpose of making that contact. Instead, to remain transparent, we publish this privacy information on our website so that anyone whose information may be included in our datasets can understand how and why it is used.
Where we get our data
We only use official, legitimate, and legally secure sources of information. This includes:
- Official UK address maps, such as licensed Ordnance Survey databases.
- Public business registers, including Companies House and the Food Standards Agency.
- Incomplete billing spreadsheets securely uploaded to us by our contractually bound utility clients.
What information we process
We keep our data usage strictly limited to basic property identifiers. We only look at:
- The business property address, postcode, and map coordinates.
- The names of businesses trading from the address, alongside recorded occupancy dates.
- Technical meter details, such as water meter serial numbers and supply network codes.
We strictly do not collect or process any personal lifestyle data, consumer financial files, or sensitive medical/biometric records.
Our legal basis and security safeguards
We process this address data under Legitimate Interests. Our utility clients have a clear and lawful right to stop water loss, correct database errors, and ensure billing accuracy across the commercial market.
Your privacy is fully protected by two strict safeguards:
- Absolute Human Oversight: We do not use automated artificial intelligence or algorithms to make final commercial decisions or issue bills. Every address match is reviewed and verified by a trained member of our team.
- Strict Cloud Isolation: Our internal AI productivity tools (Microsoft Copilot) operate within a locked, private corporate cloud. Your data is completely blocked from moving outside our system and is never used to train public AI models.
- Rapid Data Purging: Any property data processed during our address-cleansing checks is completely deleted or permanently anonymised within 30 days of us delivering the corrected file to our utility client.
Your rights and how to object
As a sole trader, partner, or landlord, you retain full rights over your data under UK law. This includes the right to see the information we hold about your property, correct any mistakes, or object to our address-matching checks.
To keep things simple and secure, we handle all data rights and privacy queries through a single internal pathway. Please refer directly to the Complaints and Rights section of our Privacy notice here primary. There you will find direct instructions on how to submit a query, how we verify your identity to protect you from fraud, our strict one-month response timelines, and how to contact the Information Commissioner if you remain unsatisfied.
